Volunteer System Update #8


‘Tis time to recall Sugarloaf’s larger picture - our 2015 Priorities Survey decision making! A top priority is to increase rentals. Yes, we have Faith in charge of the business end, but, also, what is needed is to have us pitching in to help her. Our “Harry Homeowner” tasks for keeping our property appealing and ready for renters to pay us for its use requires tending to ongoing upkeep details. If you grab a broom and sweep the hickory nuts off the deck, that One-time Task counts for a volunteer credit. Tell Helen and she’ll check you off for the month you do that task in. Drop a card in the Action Box. (See Updater #5.)

OK, Step One is to register on the SignUp Genius. If you don’t want a suggested One-Time Task, choose the first choice (to use the Action Box.) Update #5 gives you that information. Jeff can resend you his email for using the SignUp Genius if you need that boost. Jeffb1245@gmail.com Also, to sign up for the Action Box use, means you put your card in the box when you are ready to join Sugarloaf’s Volunteer System. The Box will be checked every Sunday until May 1st when the trial period ends.

We don’t have many eligible volunteers who are not now performing ongoing tasks for the church year.

Which, when you think about it, is an amazing thing. Our volunteerism rate is very high.

Right now, we need four more to use the SignUp Genius.  We all have a desire for Sugarloaf’s sustainability on our very special property.

Unity of purpose – yes … burnout – No!

Volunteer System Update #7



Sunday’s Next Steps meeting brought out the need to list our trial period’s System changes and points to emphasize for those eligible to be One-time Task Volunteers:

  1. The One-time tasks are done by those of us who are not, now, ongoing volunteers, i.e. being on a committee.
  2. There are 2 One-time Task groups:  
    • First are those who want an invitation and have chosen on the SignUp Genius site any of the choices other than the first one. 
    •  Second are those who sign-up for the self-directed/self-initiated choice that tops the SignUp Genius listing. This second group uses the Action Box and will do so when ready to join the One-time Task Volunteers. (Please, see Update #6 on the WOW blog homepage for Action Box details. Also, there are instructions inside the Action Box.) 
  3. All One-time Task volunteers are expected to do only one task per month (Usually that is when all on the Volunteers’ List have had a turn. That turn-taking is called a Go-‘Round. If one Go-‘Round takes longer than a month, then the wait between turns is longer. Our Volunteer System’s basic tenet is FAIRNESS. (Please, see Update #5 for Go-‘Round details.) 
  4. All completed One-time Tasks earn one credit each time. The monthly one can have more than one facet of work. Those extra facets would earn extra credits. For instance, Kirsten was the point person for two planning meetings for the recent OWL Retreat. In addition, she researched and supplied important information when working with the organizer to provide prep information to the participants. Therefore, Kirsten completed three separate tasks, was checked off for her turn in September, plus earning two credits. Those extra credits free Kirsten from not having to do turns in October and November. When doing a One-time Task, you may do additional connected work on the project and earn more credits to give you a longer waiting period for taking a new turn. 

Our trial period (September 13 – May 1) needs to have all not in an ongoing volunteer position to use the SignUp Genius (Jeff can send you the instructions, again) to make the trial a valid test before we vote on our System at our annual May meeting. Unity of purpose – Yes for sustainability on our land and burn-out – No!

Sugarloaf Volunteer System Update #6




This week we’ve learned of the need for clarification about what use of the Action Box for self-initiated tasks means. This is important for those who have checked the Signup Genius category, “Call Later” – the ones with no time to volunteer now, but wishing to participate later. That person needs to check off the box for Self-Initiated tasks, instead, please. That’s the first vehicle/category in Signup Genius. Jeff is deleting the Call Later vehicle/category.

Experience has taught Jeff and Helen that the Call Later choice is taken care of by use of the Action Box. (It’s on the first landing of the Great Room stairs.) Using the Action Box for a self-initiated task, gives the signal to the Volunteer System Manager (Helen) that it’s time to call to find out if the person is ready to go onto the Volunteers’ Go-‘Round List. (See Update #5.) Therefore, you activate your Volunteer System participation when you are ready.

When choosing what to do for using the Action Box, if you see something you would like fixed, that can be your one-time task. The appropriate committee can, possibly, help you do it. Or you can choose a task from the “Do One Thing at Sugarloaf” list. Or Helen has ideas (as usual.) For instance, if you have a toddler who likes to push sticks through holes, the two of you would have fun opening the drain holes in the deck’s planks that Antonio drilled for puddle drainage. At any rate, Helen will see to it that you get a go-ahead from the appropriate committee before you start a task.

We want to be sure you know that the timing for volunteering is up to you if you can’t volunteer right now.

When your task is completed, Helen will call to see if you are ready to take turns as a member of the Go-‘Round Volunteers’ List. If you are not yet ready for such invitations (no more than once a month), that’s respected if that’s your need.

The timing for volunteering is completely up to you though it would be helpful if you would do an Action Box task during the trial period, ending May 1st. We all will decide about what Volunteer System to implement at our annual May meeting after an evaluation period.

Sugarloaf Volunteer System Update #5




What’s a Go ‘Round? It’s to make our Volunteer System fair for all who sign-up for our maiden voyage (the trial period.) A Go-‘Round is when all on the crew’s list have taken turns.
Now, we have 12 who are eligible crew members. We cannot set sail ‘til all have chosen how each wants to do a one-time task turn by making one’s own choice (the Action Box self-initiated project) or by personal invitation to do what a committee member needs. The most volunteer crew members would be called would be once a month. If you choose to use the Action Box, the self-initiated projects might entail more than one task which would give credits for skipping Go ‘Rounds for awhile. The Signup Genius is what you use when you open Jeff’s email that has the instructions. If Call Me Later is your choice, you, can use the Action Box choice, too, for determining when you are ready to volunteer.

The hope is that all the crew could be on board by March. Join the crew for the sake of having a long enough volunteers’ list in the Go-‘Rounds and for helping out with Sugarloaf’s quest for sustainability on our land and for the sake of the trust the first-to-sign-up crew members have that our task invitation list will be as long as possible.
